SPIE Astronomical Telescopes + Instrumentation 2024

Please download the PDF registration form located on the Astronomical Telescopes + Instrumentation Registration page. Send the completed form to customerservice@spie.org for processing. Customer Service will provide an invoice and bank wire payment instructions to complete your payment.

There is a $75 USD service charge for processing refunds.

Requests for refunds for SPIE Defense + Commercial Sensing 2024 must be received by 31 May 2024. All registration fees, including course registration fees, will be forfeited after this date.

Membership dues, SPIE Digital Library subscriptions, and special events are not refundable.

Conference Registration


Speakers or Authors (including invited and keynote speakers), Program Committee Members or Session Chairs:

  • Exhibitors who are presenting a paper in a technical session must complete a paid Speaker/Author registration. An exhibitor technical pass does not provide presentation/publication privileges.

Technical Attendees

Students:

  • If you are a student and an author, then register as a student.
  • Student registration rates are available to individuals enrolled in undergraduate or graduate programs, who have not yet completed a doctorate degree. You must be an SPIE student member to qualify for student registration.
  • Post-docs may not register as a student.

Conference Chairs must be registered by SPIE staff.

From the event webpage, hover over the top bar on Attend and then select Hotel and Travel to see all available dates.

Housing generally opens before registration.

Membership is not required, but one of the benefits of membership is reduced registration rates. Our registration process provides an option to include a new membership or renewal with your event registration.

The one-day registration fee varies for each conference and may only be completed on-site at the registration cashier’s desk. Please contact Customer Service at customerservice@spie.org for more information.

Refund requests must be received by the refund deadline for your event, listed on your receipt and all registration materials. All registration fees, including courses, will be forfeited after this date.

You do not need to register for the full conference but you must register for your short course(s) specifically via the online conference registration. Alternatively, you can complete the manual registration form indicating the course you would like to take and submit the form to customerservice@spie.org.

Registration is required to attend. At most of our events, exhibition visitor registration is available free of charge. There is a nominal fee to attend the exhibition at the Optifab event.

You can register online on the conference registration page. During step one of the registration, select Exhibition Only. We also have registration available on-site for exhibition visitors.

Please visit the event homepage and click the Registration header option. Scrolling slightly down, please see the What is included with registration section. Courses and Workshops are not included in event registration and will have an additional cost when selected in the registration process.

We do not offer a government or retired registration rate at this time. To obtain the best pricing available, we recommend registering during the early registration period and utilizing the SPIE member discount on event registration.

You may submit registration details and your intent to register by submitting a purchase order from your employer or institution. Please note that registrations are not complete until your payment is received and processed.

Attending a SPIE Event


A visual badge preview is available during online registration. You will pick up your physical badge onsite at the conference registration desk.

Registrants must personally present their valid photo ID at the registration desk to pick up their badges. Badges will not be issued to anyone other than the registrant.

Manuscripts will be officially published approximately six weeks after the event on the SPIE Digital Library. Full conference registrants will be notified when content is available via email. The email will include instructions on how to utilize your download tokens included with your conference registration.

If using our SPIE Conference and Exhibition App to save presentations of interest, users will be notified once those papers have been published to the SPIE Digital Library.

Visa requirements vary depending on your country of residence and the location of the event. Strict security requirements may cause delays in visa processing. Please visit the Upcoming SPIE conferences and exhibitions calendar and click on your event of interest. From the event homepage on the top bar, hover over Attend and select Hotel and Travel to see available visa information.

As a Technical Attendee or Author, invitation letter requests must be made through one of our programs below. You must be signed into your SPIE account to apply:

We are unable to provide invitation letters for Exhibition Visitors.

All attendees must register for the event and pay the associated registration fee. Badges for all attendees are required.

To attend certain conference special events such as a Welcome Reception or Awards Banquet, a purchased guest ticket is required for a non-registrant to attend. Please check the event registration webpage for details.

Preregistered attendees who need a Certificate of Attendance may obtain one at the onsite Cashier.

Membership

Click on “Join or Renew” and follow the prompts. You must have a SPIE web account before entering a membership order.

When you wish to use your membership online, you need to log in to your SPIE web account first. Please go here to log in: spie.org/account/login.

SPIE Members receive ten Digital Library Downloads (to be used within one year).

Proceedings Authors

Authors are expected to attend the meeting and present their papers. Papers not presented at the meeting will not be published in the Proceedings of SPIE except in the case of exceptional circumstances at the discretion of SPIE and the Conference Chair/Editor.

If unforeseeable circumstances prevent you from attending the meeting and keeping your commitment, notify your SPIE Program Coordinator as soon as possible and arrange for a coauthor or colleague to make the presentation.

If you are a SPIE student member and an author at the upcoming conference, please register as a student.

After picking up your badge at the Conference Registration desk, visit the Speaker Check-In desk to upload your presentation and familiarize yourself with our system.

Exhibitors

If you are an Exhibitor who is presenting a paper in our technical conference, a paid author registration is required.

An Exhibitor Technical Pass does not provide speaker/publication priviledges within our technical conferences.

Each company with a booked exhibition space receives a limited number of technical access badges which permit access to attend the technical program events. Technical passes are assigned by the company’s designated exhibition liaison who is responsible for the company exhibit and will be provided during badge pickup.

If you are presenting a paper at the conference, you will need to complete a paid conference registration as a speaker. An exhibition technical pass does not provide speaker/publication privileges.

Every exhibitor has a designated exhibition liaison (the person responsible for the company exhibit). Exhibition liaisons can log in to their account and update information for both the exhibitor directory listing and the event specific listing on the exhibitor dashboard.

SPIE accepts Visa, MasterCard, American Express, Diners Club, Discover, PayPal, checks and bank wire transfers. 

Please have your purchasing officer contact the credit card provider for authorization before attempting to register. Advise your purchasing agent that SPIE is considered an 8398 company for authorization purposes.

There could be several reasons why your card is not being accepted:

  • If you are receiving a Card Declined message, please contact your credit card-issuer for more information.
  • Confirm correct card number and security code.
  • Confirm that your card’s expiration date is valid.
  • Confirm that your billing address is correct.
  • If you are making an “out of country” purchase, you may need to contact your credit card provider for pre-authorization.
  • Some company-issued credit cards do not permit online payments.

Make checks payable to SPIE and be sure to indicate what the payment is for. Please include any relevant order numbers with your payment.

Some countries or state/local governments require us to charge tax or VAT, depending in their specific taxation requirements. All tax and VAT charges are based on your shipping address.

Click on your first name initial at the top of the screen, then select Account Details. Your SPIE ID is displayed at the top, next to the words My Account.

Click on your first name initial at the top of the screen, then select Account Details. From there you have the option to change your username or password.

After changing your password, wait two minutes before signing in again. This will allow time for our system to update your record to the new password.

If you are experiencing problems receiving our emails, this may be a result of email filters. Please check your junk or spam folder. Adding "lux@spie.org" to your safe senders list may also be necessary.

Journal Authors


Please visit SPIE Journals and click on a specific journal to see submission instructions. There are links available detailing the scope and details of the journal, the call for papers, and specific author guidelines.

Payment of publication charges is voluntary. Accepted papers will be published even if the author is unable to pay.
